September gives an HVAC business something it will not have once demand climbs: room to find and fix scheduling problems without making every customer part of the experiment.

The pattern varies by market, but analysis of 65 million U.S. HVAC service trips found a September shoulder-season dip followed by an October peak as customers switch from cooling to heating. November may be busier locally. The practical point is simple: test one change in September, refine it in October, and enter the heating season with a process your CSRs have practiced.

The September–November window

September is the pilot window; October is the refinement phase. The rising bars represent a typical increase in call pressure, not a universal forecast—local data may put the peak in October rather than November.

September — pilot: Establish a baseline and test one small workflow while the schedule has room.

October — refine: Review results, adjust message timing and escalation rules, and train the team.

Heating-season surge — standardize: Capacity for change shrinks; run the process and handle exceptions.

Samsara’s data showed October, not November, as the consistent national HVAC trip peak. Treat that finding as a planning guide, not a universal forecast, and check your own booking and call data.

Start with the calls that should never have to happen

“Where is my tech?” calls, manual schedule updates, missed appointments caused by silence, and callbacks about jobs that may no longer be on track all consume capacity. CSG recommends timely reminders, easy confirmation or rescheduling, delay notifications, and service tracking; its broad service findings are context, not HVAC-specific benchmarks. Start with a baseline. Track update-related calls, missed appointments, rescheduling, callback time, and CSR minutes spent relaying schedule information. Separate causes where possible: inaccurate contact records, technician delays, and customer cancellations require different fixes.

Healthcare reminder research points in the same direction, but it is not proof of an HVAC result. A review of 31 randomized trials found reminders generally improved attendance and could increase cancellations or rescheduling. Pilot one scheduling workflow before the rush

Keep the pilot small, measurable, and reversible:

  1. Choose one job category, service area, technician group, or CSR team.
  2. Document who sends which message, when, and how delays are handled.
  3. Run it during September or early October with clear start and end dates.
  4. Compare update-related calls, missed visits, rescheduling, on-time arrival, customer readiness, and CSR time with the baseline.
  5. Review weekly with CSRs, adjust the rules, and expand only if the results support it.

What a proactive queue-update process looks like

Test a process that sends the right update without turning a CSR into a human status page:

  1. Send the customer an appropriate queue position and arrival window.
  2. Refresh the estimate when the queue changes or a technician is delayed.
  3. Warn before the original window expires if the technician is early or late.
  4. Send an on-the-way message with enough notice for the customer to prepare.
  5. Keep a job-level message log so CSRs can focus on exceptions.
